# Share a review with external guests

A share link lets people outside your project open a review in their browser, without a Revis account. Each review has one share link. You create it in the **Share** dialog, and revis.io can email it to your guests for you.

::: info Before you start

* **Who:** project members who can edit the review (Owner, Admin, Member, Project Admin, or Contributor). Reviewers and Viewers don't see **Share**.
* **Where:** the web app, or the desktop app for a review stored in revis.io's cloud.
* **You need:** a review, and an organization that allows external link sharing. If you can edit the review but there's no **Share** button, or no **Guests** choice under **Access** in the dialog, an admin has turned off **External Link Sharing**.
  :::

## Create the link

1. Open the review in the player and select **Share** (the share icon at the top right; in the desktop app, in the player's toolbar).
2. Under **Access**, choose **Guests**.
3. Review **Guest Access** and **Permissions**. The defaults let guests comment, draw, and change an item's status without confirming their email. Guests can't download.
4. To email the link, enter your guests' addresses under **Notify**, separated by commas, and add a **Personal message (optional)**.
5. Select **Create Link**. revis.io copies the link to your clipboard and shows "Share link created".
6. Send the link to anyone you didn't add under **Notify**.

On the Reviews page, the review's three-dot menu has **Share** too. In the desktop app, the confirmation says "Share link saved".

Under **Options**, you can also set an expiry date or a password; see [Protect, track or stop a share link](/sharing/manage-a-share-link). If your organization requires a password, revis.io fills one in: select **Copy password** next to it and keep the password before you select **Create Link**, which replaces your clipboard with the link.

For what each option does, see [Choose how guests sign in and what they can do](/sharing/choose-guest-access-and-permissions). Anyone with the link can open the review, so send it only to people you trust with the media.

## Email your guests

Each address under **Notify** gets an email with an **Open review** button. The email also says when the link expires and whether it needs a password, but never includes the password: send that separately.

* You can notify up to 20 people at a time. To email more, open **Share** again, enter their addresses under **Notify**, and select **Update Link**.
* The confirmation says how many people revis.io emailed. Anyone it couldn't email, for example an address that opted out, is listed under "Some people weren't emailed".
* A personal message can't contain links or web addresses. If it does, revis.io doesn't create or update the link and shows "Personal messages can't contain links or web addresses."
* If your organization is new, or doesn't have an active paid subscription, the email leaves out your message and the review's name.

## Copy the link again

Open **Share** and select **Copy Review Link**. revis.io shows "Link copied to clipboard".

::: warning
In the web app, **Copy Review Link** on a review that has no link yet creates a view-only link: guests can watch, but can't comment, draw, change a status, or download. **Copy link** in the review's menu on the Reviews page does the same. To let guests take part, use **Create Link** instead.
