Approve an item or set its status

Updated Oct 12, 2026

Approve an item or set its status

Each item has a status, such as Approved or Needs Revision, that tells everyone where it stands. Set it from Item actions in the player, or from the item's menu on the Reviews page. A review also has its own status, which you set from its status pill.

Before you start

  • Who: Project Admins, Contributors, and Reviewers, and the organization's Owners, Admins, Members, and Reviewers unless the project gives them a lower role. Viewers can't change statuses. Guests can set an item's status, but not the review's, when their share link allows it.
  • Where: the web app.
  • You need: a review with at least one item.

Set an item's status in the player

  1. Open the review in the player and select the item in the playlist. If the playlist is hidden, select Show playlist first.
  2. Point to the item's name at the top and select Item actions, the three-dot button next to it.
  3. Choose a status, for example Approved.

The colored strips beside the playlist thumbnails show each item's status. The status changes straight away, for everyone. It belongs to this version of the item, so it's the same in every review that holds this version. To clear an item's status, choose No Status.

Your organization or project can use custom item and review statuses, so their names and colors may differ. Unless it uses custom item statuses, you can choose Pending Review, Approved, Needs Revision, On Hold, and Final.

Here's how to mark an item as good to go, and keep the whole review on track. With the item open, select Show playlist if it's hidden. That little colored strip beside each thumbnail is the item's status.

One glance down the playlist tells you where everything stands. To change a status, point to the item's name at the top. Then select Item actions, the three dots that appear right beside it.

The director gave their thumbs up on this shot, so let's choose Approved. It updates straight away, for everyone. The status belongs to this version of the item, so any review holding this version shows it too.

The review itself has a status, too. Select the status pill, top right of the player. Under Review status, you'll find the defaults.

Your organization or project can customize item and review statuses, so yours may look different. We're mid-feedback here, so choose In Review. Status changes are recorded, too.

Select Activity on the right. There it is at the top: Open to In Review, with who changed it and when. Now you can keep every item and review moving, and everyone knows exactly where things stand.

Set the status of several items at once

  1. On the Reviews page, expand the review.
  2. Select the items. Hold Shift to select a range, or ⌘ (Ctrl on Windows and Linux) to add items one at a time.
  3. Select set status in the bar that appears, and choose a status.

You can also right-click an item, or several selected items, and choose a status. Item actions and the right-click menu list only the first five statuses; set status lists them all.

Set the review's status

  1. Select the review's status pill at the top right of the player.
  2. Under Review status, choose a status. By default these are Open, In Review, Approved, and Closed.

The change appears at the top of the player's Activity tab, on the right, with who made it and when.

On the Reviews page, the same pill sits near the right end of the review's row.

If a status doesn't stick

If revis.io shows Couldn’t set status with The change was reverted., your role can't change statuses in this project (Viewers see the status menus but can't use them), or revis.io couldn't reach the server. Check your connection and try again. If it still fails, ask a Project Admin or an organization Admin about your role.
